    OVERALL SUMMARY - POSITION DESCRIPTION

    The Operations Associate is responsible for managing the tools, processes and systems on specific account(s) to ensure business is operating in the most efficient and profitable manner. Operations Associate will have a dual role: reporting to both Client and Finance Operations Managers.

    KEY AREAS OF RESPONSIBILITY
    Responsibilities include, but are not limited to:

    Client and Financial Operations Duties
    • Support all operational aspects of the account – systems, processes, business requirements
    • Actively participate in status meetings with Aegis Partners, Activation teams and Clients
    • Assist in the development and implementation of strategies for sustained operational excellence across the account(s)
    • Assist with budget management across brand portfolio accounts in accordance with media authorizations and media buys
    • Assist with monthly client billing processes
    • Develop financial reports that are clear, error-free and on-time

    Client & Internal Relationships
    • Ensure key information is provided to appropriate individuals and teams regarding budget management issues and day-to-day operations
    • Develop and maintain relationships with agency personnel related to client and financial operations processes and deliverables
    • Is approachable and solution-oriented when presented with problems/issues by staff and team

    Strategic Thinking & Leadership
    • Work closely with Operations Manager to help automate and streamline workflow and processes to reduce resource time in areas of planning, buying, reporting, billing, etc.
    • Develop business skills in a proactive, decisive and logical manner
    • Develop ownership skills and methods to demonstrate critical thinking to improve best practices

     

    Communications Skills
    • Express oneself clearly and concisely in oral communications to internal team and client
    • Write in a clear, compelling and concise manner
    • Organize ideas and information logically and sequentially


    EXPERIENCE/KNOWLEDGE REQUIRED:
    • Bachelor’s Degree in Communications and/or Accounting related field
    • 1-3 years of media agency experience or related field/role
    • Advertising agency experience preferred
    • Experience and knowledge of internal operations and budget management
    • Intermediate computer skills using MS Office (Excel, Word, PPT)
    • Exposure to Mediatool and MediaOcean DDS/Prisma and ability to learn new business software/databases
