    OVERALL SUMMARY - POSITION DESCRIPTION

    Budget Coordinator: The Budget Coordinator will work closely with the media, finance and account services teams. This position will be responsible for client media funds, including tracking of campaign delivery, client billings and media reconciliations.

    Key responsibilities include: • Tracking current approved client media spends and updating client Media Authorizations, Insertion Orders to vendors and within Carat’s internal financial packages. • Work closely with Media team to review campaign adverting reports and revisions to media insertions. • Verify vendor invoices against actual delivery numbers pulled from our adverting systems and internal insertion orders. • Work closely with Accounts Payables department to review vendor payments and resolve internal and external discrepancies. • Work with vendors to resolve invoice discrepancies, track down unpaid bills and facilitate receipt of corrected invoices and credit memos. • Communicate media spend changes to Account Services and Finance teams. • Ensure that all Insertion Orders generated are invoiced to the client. • Reconcile completed media campaigns, verifying billed amounts to client and final invoices from vendors. • Take ownership-mentality in their work/clients • Anticipate possible billing issues, analyze situations and proactively create solutions

     

    Experience required: • 1-2 years accounts payable or media planning experience • B.A. or B.S.

    Qualifications: • Intermediate to advanced MS Office skills, including Word and Excel • Highly organized with excellent attention to detail, able to prioritize well, excellent follow through skills • Flexible and able to multi-task effectively • Experience with DDS and/or other advertising systems preferred • Experience and familiarity with Digital and Traditional media types preferred
